We are now one week away to The Midyear 2012! The attendance numbers are still well ahead of any year on record! Thank you for exhibiting, we look forward to seeing you in Las Vegas. The information provided in our Final Facts E-news will help you to finalize preparations and navigate once you arrive.




Important Onsite Exhibitor Information
Onsite Badge Pick Up

 
Exhibitor badges should be picked up in the Mandalay Bay Foyer, Level 2, at Exhibitor Registration with Photo ID. Exhibitors registering onsite should also register at Exhibitor Registration in the Mandalay Bay Foyer, Level 2 and must present a business card showing their name with an authorized exhibiting company name in order to register. The online badge submission has closed but exhibiting companies will still be able to obtain and use all comp badges onsite. Badges needed outside of the complimentary allotment can be purchased onsite for $80.

Badges are color-coded as follows:

Blue - Full-Time Registrant  
Yellow - Part-Time Registrant  
Green - Exhibitor  
Red - Business Clients  

Exhibitor CE Process Onsite
Exhibitors who are ASHP members can use their ASHP login information to process CE immediately. The 2012 ASHP Midyear Clinical Meeting will appear on your list of events when you login to the ASHP CE Center at http://ce.ashp.org. If the meeting does not appear when you login to the ASHP CE Center, please stop by the Meeting Info Center for assistance.

Exhibitor Service Desk
The Freeman service desk will be open at 8:00 a.m. on Friday, and located in the Exhibit Hall, at the end of the 2100 aisle; to verify, check and adjust their requirements for installation.

Security
ASHP will provide guard service during the entire meeting. Exhibitors are advised to lock up valuable equipment, incentives and other materials after show hours. Freeman Decorating can provide secured accessible overnight storage for valuable equipment. For information about obtaining security services for your individual exhibit space, contact Simmons Security Services at jmcdeshen@simmonssecurity.com.

VIP Pre/Post Show Demos
ASHP is offering an exclusive opportunity for exhibitors to invite attendees for a private demo in your booth before and after official show hours. The fee is $3,500 and covers additional security, electricity and administrative costs related to conducting pre and post show demos. This fee covers all demo hours for the duration of the show. Demo hours are Monday-Wednesday, 8AM-11AM; and Monday-Tuesday, 3PM-5PM.

Mobile Application
The Midyear has gone mobile! The ASHP Mobile Midyear app puts the exhibitor listing, program guide, and Residency Showcase listing in the palm of your hand. Available in app stores for iPhoneŽ and AndroidTM. You can also download at http://ashpmy.quickmobile.net/home/index on your mobile browser.

Shuttle Bus Schedule
ASHP Midyear Shuttle Bus Schedule
Shuttle bus service will be provided from all official Midyear hotels to the Mandalay Bay Convention Center (except for the Luxor which is walking distance to the Convention Center), Saturday, December 3 through Thursday, December 6.

Note: The shuttle schedule is subject to change based on usage. Please check the Midyear News & Views, distributed at the meeting, daily for updates.

Advance Space Selection for The Midyear 2012
ASHP will use a priority point system onsite in Las Vegas to sell space for The Midyear 2013 in Orlando, December 8-12. The cost for a 10x10 will be $3,800 and $200 per corner. You will receive your company's point total and selection schedule in November prior to leaving for the meeting. A 50% deposit and signed contract must be submitted onsite to secure your booth.

ASHP's official housing bureau, The Housing Connection will also be onsite to book reservations for The Midyear 2013, in the Exhibit Sales Office located on Level 2, in the Breakers Registration Offices North and South, Mandalay Bay Convention Center. All exhibitors are encouraged to submit their 2013 room block forms onsite in Las Vegas to secure your rooms prior to the official opening in July 2013.

You won't want to miss The Midyear's Keynote Address since we have a very special speaker: President Bill Clinton. As such, ASHP must adhere to strict guidelines and procedures related to his appearance in order to comply with security issues and the large crowd that is expected. As a valued ASHP exhibitor, you are invited to attend. Please note the following when you arrive on Monday: The seating in the Mandalay Bay Events Center is limited and available on a first come, first served basis. Doors open at 8:00am. You must be wearing your badge to enter the Events Center so consider picking this up before Monday to avoid long lines. ASHP recommends exhibitors use the over flow room if you plan to leave before 11:00 am to go to your booth, overflow locations include:

  • South Pacific E, Lower Level, North Convention Center
  • Mandalay Bay F, Level 2, South Convention Center
  • Mandalay Bay H, Level 2, South Convention Center

ASHP & Teacher EXCHANGE™
ASHP exhibiting companies are getting involved with ASHP's earth friendly and sustainable efforts!

ASHP is partnering with Teacher EXCHANGET (A Green Initiative of the Public Education Foundation) to help improve resource management and reduce the amount of solid waste generated in Southern Nevada.

Following the close of the Exhibit Hall, exhibitors will have the opportunity to donate new and reusable materials to public schools in Nevada.
